Hiring Terms & Conditions and Information – Private (‘one off’) Bookings (e.g. parties, etc.)

Egglescliffe Parish Hall

For a private booking you get exclusive use of the hall.  The capacity of the hall (due to fire regulations) is 120 people.

There is the larger hall and a smaller hall with a bar area - they are linked but can be separated with the concertina screen.  You can set things out however you want them. There is a kitchen which has a sink, cooker (gas 4 ring hob, double electric oven) and fridge (with small freezer compartment) and ample worktop area.  There is also a separate bar area – also with sink and worktop area.  There is a small room at the back which is labelled as the ‘committee room’ and is generally used for overflow storage but can be a useful quiet area or place to put things you would prefer to keep out of sight.

You are welcome to decorate the Hall with bunting, balloons, etc and there are several eyes in the walls which are useful for attaching decorations to, and a suitable step ladder to get to them. On the painted walls we request blutack only, also there are plenty of pin boards which you can decorate over and thus pin things up.  We do expect you to remove your decorations at the end of the function.

You are expected to leave the hall in a tidy state (as you should find it) and there are tea towels/brushes and other cleaning equipment to help you do so. These can be found in the kitchen (behind the door). To ensure a deposit refund, please leave the hall as you found it.

There is a car park to the rear of the hall and a small garden area to the front.

Viewings
We are happy to organise viewings of the hall prior to making a booking.

Equipment available
There are several cupboards and drawers in the kitchen and bar areas which contain glasses, crockery and cutlery and a small selection of some cooking utensils (however generally less of the larger cookware and serving type implements) – these are all available to use. There are also several cupboards that are labelled and or locked/tied closed – the contents of these cupboards belong to some regular group users of the hall and we respectfully request that these cupboards and drawers and their contents are left alone.  The only proviso to using the equipment is that it is all washed up and put away again.

There are an ample amount of tables and chairs etc. for your use.

Cost
We charge £25 per hour for exclusive hire of the hall plus a one off £25 refundable booking deposit. Please note that your booking is not confirmed until the deposit payment has been made. We allow a discretionary 30 minutes before and after your booking for time to set up and clean down. 

Booking the Hall
For all private bookings we require payment in full 6 weeks prior and a £25 additional refundable deposit to secure the booking. We aim to refund your deposit within a month of your booking after the hall has been inspected. Payment is preferred by BACS- if you would prefer to use another payment method, please contact Sophie Newton. BACS payments to Egglescliffe Parish Hall Association, Sort Code 20-82-18, A/C No. 40573906. Please use the booking date as a reference and confirm your payment by email.

Payment of the booking fee constitutes acceptance of liability for damages occurring during your event and any additional costs incurred as a result of excessive cleaning requirements following the event.

In the event of cancellation, a fee of £25 will be withheld to cover costs. If the booking time is taken up by another party, a full refund will be made.

Once we have received payment, you shall be informed of the arrangements for entering the hall on the week of your booking.

Valuables
Egglescliffe Parish Hall Association can not be responsible for any loss or damage to valuables during your hire. Any items (including cash) that you bring in to the venue is at your sole responsibility. If your event is going to generate a large amount of cash, we recommend you bring a padlock or bike lock with you to lock away the cash or valuables in a cupboard in the small committee room for the duration of your hire.
